Contacts
Overview
Contacts is an address book designed to take the hassle out of contact management so you can focus on what matters most – relationships. Access and edit your contacts from the Contacts page. We can add Contacts directly from the Contacts menu or page, easily access information when needed and reach people in the ways you communicate with them most.
A Contact will have the following available functions:
Permissions
As a user with Contacts permissions, you will be able to Create, View, Edit and Delete Contacts Data from the Portal.
To access Contacts, you need to have the following permissions.
- Contact.View
- Contact.Create
- Contact.Edit
- Contact.Delete
Add a New Contact
To add a new Contact, search for Contacts under the CRM section of the left-hand side menu and click on the + sign to add the new Contact.
We can also add a new Contact by going to the Contact section. Click on the + Add Contact button on top right corner to add the new Contact.
We can also make use of Quick link button in the top icon menu to add a new Contact. Click on the plus (+) icon and then the Contact icon to add a new Contact.
This will open a box, where you can enter all the required details.
- Salutation
- First name
- Middle name
- Last name
- Contact number
- Gender
- Estimated net worth
- Active campaign subscription
Fill out all the details and click on confirm to create the Contact.
Edit a Contact
To edit a Contact, click on the Contact you wish to edit from the Contacts list. You can make changes in-line on the fields you wish to change.
After changing the data in the field click enter or on the green tick to save the changes or click on the red cross to discard the changes.
Delete a Contact
General users cannot delete a Contact.
Search a Contact
You can search for a specific Contact using the search tab in the Contact section. To do so you need to type in a search key and the list of Contacts will appear based on the search.
Types of data you can search by:
- First name
- Last name
- Email address
- Contact number
Info
You can view and edit info about the Contact in the Info section.
- Secondary email
- Invoice email
- Contact number
- Salutation
- Preferred first name
- First name
- Middle name
- Last name
- Gender
- Date of birth
- Age
- Date of death
- Place of birth
We can also view and edit the following data in the about section
- Occupation
- Sub-segments
- Estimated net worth
- Estimated assets
- Estimated liabilities
- Estimated wealth date
- Skype
- Special interest
- Structure diagram link
We can also view and edit the address and postal address of the Contact.
Unsubscribe from Marketing
When a user clicks on the Unsubscribe link at the top of the Info page they will be presented with an Unsubscribe Newsletter Modal.
Input the reason for unsubscribing, and click confirm to unsubscribe. Once unsubscribed, the Contact will no longer receive communications from ADLV Law via Active Campaign.
Once unsubscribed, a Contact cannot be added back into the marketing list from Portal.
Marketing
The marketing section contains a log of all marketing communications that have been sent to the contact via Active Campaign.
The log will include the following details:
- Message type
- Description of the message the user received
- Subject
- Date the message was sent
Organisations
Organisations is a table view that displays a list of Organisations the Contact is associated with.
A contact can be associated with an Organisation as either a Primary contact or a Secondary contact.
The table displays which Organisation and the context in which the Contact is associated.
The table groups these relationships by Organisations (primary) and Organisations (secondary) in a table view. For your convenience each row is clickable, taking you to the relevant Organisation.
Relationships
The Relationships section of Contacts allows a user to create a Relationship between 1 or many different Contacts in the CRM system.
Currently we have 4 core relationship types
- Referrer relationships: This is the individual contact that referred a contact to ADLV Law.
- Professional relationships: These are the professional relationships associated with a contact. This includes; the lawyer, the accountant, the financial planner
- Family relationships: These are the family relationships associated with a contact. This includes; the mother, the father and the spouse. We currently don't create relationships between siblings. These are inferred based on the Spouse Relationship.
- Referred relationships: This is a list of all contacts that the contact referred to ADLV Law.
Add a Relationship
To add a Relationship, click on the Update Relationship button at the top right of the page.
This will launch a Update Relationship box.
Simply select the Contacts from the list to create a Relationship, or create a new contact by hitting the plus button.
Edit a Relationship
To edit a Relationship, click on the Update relationship Button. This will launch the Update Relationship box. Select a new value from the list and click the close button for the Relationship to be edited.
Delete a Relationship
