Clients
Overview
A Client is a person or an organisation using the services of the of the company. A Client consists of an individual or individuals, or individuals of an organisation.
The Clients page serves as a view to critical information related to a Client.
Clients will have the following additional functions:
Permissions
As a user with Client permissions, you will be able to Create, View, Edit and Delete Client Data from the Portal.
To access Clients, you need to have the following permissions.
- Client.View
- Client.Create
- Client.Edit
- Client.Delete
Add a new Client
To add a new Client, click on the home tab in the left-hand side menu and search for Client under CRM section.
Click on the ‘+’ to add a new client. This will open a box where you can enter all the required details.
- Primary contact.
- Secondary contact.
- Organisation.
Fill all the details and click on confirm.
We can also add a new Client by going in the Client section. Click on the Add client button in the top right corner to add new Client.
We can also make use of the Quick link button in the top icon menu to add a new client. Click on the plus (+) icon and then the Client icon, to add a new Client.
We can also add a new Contact when the Contact information is missing whilst creating a new Client. To do so, Click on the + symbol next to the primary or secondary contact field. Fill in all the mandatory fields and click on confirm.
Note you cannot edit a Client's Contacts after it has been created.
Edit a Client
A Client is a view of critical Client data, any edits to a Client are done directly through a Contact or Organisation page. Any edits will flow through into the Clients page.
Documents associated with the Client will have been added at the Organisation or Contact level.
Search a Client
We can search for a specific Client using the search tab in the Client section. To do so you either need to type in a key to filter by, or you can select the filter using the filter button on the right-hand side and the list of Clients will appear based on the filter.
Types of data you can search by:
- Client name
- Organisation
- Primary Contact
- Secondary Contact
Info
We can view info about our Client in the info section.
- Email (the email that the invoice will be emailed to)
- Address (the address the invoice will be addressed to)
- Postal Address
We can also view the following data in the Lifetime value section
- Total invoiced value (inc.GST)
- Total payments received
- Total outstanding
Additionally we have the following data in the Internal section
- General status (Active, Dormant, Inactive, Blacklisted)
- Synced Status with Xero
If the Client has not yet been synced with Xero, we can click the Sync with Xero button, to sync. This is important as we cannot send an invoice unless the Client is synced with Xero.
