Syntaq Records

Overview

A Record is the data that you save when filling out a Form. Saving and viewing a Record is simple but Syntaq expands on the Record to provide you with some advanced features not provided by any other document automation platform. We allow you to re-use a saved Record in another Form without having to re-key any data. This ability to reuse data is important to professional Forms. For example, after data has been entered into a client engagement letter, it can then be used to fill and complete a suite of Forms (and documents) for the same client.

Permissions

As a user with Syntaq permissions, you will be able to reuse data from Syntaq Records in Syntaq Forms from the Portal.

To access Syntaq Records, you need to have the following permissions.

  • SyntaqForm.View
  • SyntaqForm.Edit

Records Folder

Records are a representation of your data.

This data has 3 layers.

  • Records
    • Record matters
      • Record matter items (the assembled documents)

In consultation with the ADLV team we have established the following pattern for managing records.

  • A single Value Delivery folder for each form type i.e.. Value Delivery - Wills or Value Delivery - EPOA's
    • Records are Grouped by Matter ID (or Date if Matter ID is not applicable)
      • Record Matters are Grouped by type i.e. EPOA SA or EPOA Victoria
        • Record matter Items (the assembled document) uses the yyyymmdd_DRAFT_Document Name_Enterprise Name_Creator Name

When you access the records page you will see each Record Matter Item contains a link to a Form (light blue icon) and links to the assembled documents (MS Word or Pdf doc icon).

When you click on the Form icon, it will load the data from the Record into the form it was created in. Clicking on a document will generate a download of the document.

Search a Record

When accessing Records from a Form, you are able to search for a Record using the search bar.

You can search for the following:

  • Record name (matter id)
  • Record matter name
  • Record matter item (document name)
