Admin - Trust Ledgers

Overview

Trust Ledgers is where we track all of our ledgers containing Trust money, including:

  • Matters with Money in Trust (or where money was held in Trust)
  • Unknown Trust Deposits

Permissions

Users with the required permissions can access the Trust Ledgers page from the Administration Menu, under Trust.

Viewing Trust Ledgers

The Trust Ledgers page has a table containing all the Ledgers, where you can quickly identify a ledger by:

  • ID: ID for the Ledger
  • Matter ID: ID of the Matter the Ledger is associated with (if applicable)
  • Name: Matter name for a matter, payment description for Unknown Deposit
  • Notes: Type of Ledger (Matter Default Ledger or Unknown Deposit)

Simply click the entry in the table to be taken to the page for a specific Trust Ledger.

On the Ledger page, there are three sections:

  • Summary
  • Requests
  • Transactions

Summary

Shows the identifying information for this Ledger. This page is not editable.

Requests

Shows a list of all previous Trust Requests for this Ledger (including approved, rejected & pending requests), with information on:

  • Request Date
  • Description
  • Matter ID
  • Request Amount

The Request cannot be approved or rejected from this view.

An approved request will appear in the Ledger's Transactions table, whilst rejected and pending requests will not)

Transactions

Provides a list of all Transactions related to this Ledger. For a Matter Ledger, this will be all approved requests, whilst for a Ledger for an Unknown Deposit, this will show the details of the Unknown Deposit. This table displays the following information:

  • Transaction ID
  • Transaction Date
  • Matter ID (if applicable)
  • Matter Name (if applicable)
  • Description
  • Amount
  • Reconciled status

Each entry is clickable, and will show an un-editable view of the following Transaction details:

  • Description
  • Amount
  • Balance (too be implemented)
  • Reconciled status

For a transaction that created an Unknown Deposit Ledger there is an additional option to assign the Transaction to a Matter. Simply click the Assign to Matter Trust button in the top-right and fill out the details of the Transaction, including:

  • Matter
  • Transaction Method
  • Deposit Purpose
  • Payable From
  • Depositor Address
  • Description
  • Transaction Date
  • Amount
  • Supporting Documents

Click Confirm to finalise the assignment.
