Admin - Users

Overview

Users are people who can login to the Portal and perform operations based on their permissions.

A user can have zero or many Roles. If a user has more than one Role, they will inherit the permissions from all these Roles.

Permissions

As a user with Admin - User permissions, you will be able to Create, View, Edit and Delete Users from the Portal.

To access user roles, you need to have the following permissions

  • User.View
  • User.Create
  • User.Edit
  • User.Delete

Create a User

Before a User can access the portal we need to establish an account for them. To do this we need to click on the profile icon and select Administration to open the Administration Menu. Under Accounts, click on Users and click on the + User button.

This will open the Create User modal.

Provide all the mandatory data including:

  • First Name
  • Last name
  • Email Address
  • Office
  • Password

Click the Confirm button to create the new User.

Once the account has been established Users can login with the Sign in with Microsoft button. Once logged in using Open Id Connect, the Microsoft credentials are added to the database along with the User credentials.

Admin Users cannot be deleted as a business rule.

Edit Users

You can view a full list of all the Users with active or inactive profiles, via the Users page. Simply click on your profile icon and select Administration to open the Administration Menu. Then, under Accounts, select Users.

This will take you to the Users page where you can view the Users table.

Clicking a User in the table will pop out a User Profile menu which allows you to view or edit the User's profile. This view includes details of:

  • Name
  • Email (uneditable)
  • Roles
  • Office
  • Secondary Email
  • Contact Number
  • Admission Date
  • Date of Birth
  • Portal User Status
  • Address

Change Password

The change password button can also be found in the User Profile menu. This allows the Admin User to change a Users password. This does not affect the User's single-sign-on with Microsoft (the preferred method for sign-on), but can be helpful for those users who are unable to sign on via this method.

Edit User Roles

Once a User has logged in for the first time, they will be assigned a User Role, this is currently our Default. This will provide the User with the necessary Permissions. If you wish to edit the Users Permissions you can do so from the User Profile menu. Simply click on the Roles link and you will be presented with a list of available Roles.

Select the Role you want to add to the User. A User's active Roles appear as tags below the Roles link.

If the Role doesn’t contain the Permissions you need, you may need to create a new Role.

Delete User Roles

To delete a User's Roles and associated Permissions simply click the x beside any active Roles you want to remove from the User.

User Statuses

The three checkboxes that make up the User's Status in Portal are:

  • Active: Allows User to gain access to Portal from this profile. If this is unchecked the User will not be able to log in.
  • Is Legal: Portal will perform PQE calculations for this User. If this is unchecked the User will not have PQE calculations performed.
  • Is Staff: Generally selected when Is Legal does not apply. Function TBC.
