Feedback
As a user with Feedback permissions, you will be able to Create, View, Edit and Delete feedback from the Portal.
How to provide Feedback
To access the feedback forms and submitted feedback, you need to have the following permissions.
- BugReport.View
- BugReport.Create
- BugReport.Edit
We have tightly integrated the Bug Report and Suggestions forms into the Portal to enable staff to efficiently submit ideas to the Bug board and Value Creation backlog, respectively.
Any submissions you make will be added to bug or suggestions boards for review by the relevant teams.
Bug Reports
To view or submit Bug Reports in the Portal, click on the Bug Report item in the main menu. This will take you to the feedback page.
In the bug Reports tab, you will be able to see a list of all the current bug reports, with details on:
- ID
- Bug Description
- Priority (Critical, High, Medium, Low)
- Reporter
- Date Reported
You can click on a Bug Report to see more details, including a full description and any uploaded files.
The Bug Reporter should be used to flag any issues with current functionality of the system as designed, such as a link not working.
For further distinctions and definitions see the information beneath the Suggestions heading, below.
Submit a New Bug Report
Before you submit a new bug report, please check the list of Bug Reports and Suggestions to make sure your issue has not already been reported.
Make sure you are in the Bug Reports tab, and click on the ‘Add a Bug Report’ button. This will open a Create Bug Report modal.
Key points to cover in your bug report include:
- The platform that the issue is present in (i.e. Portal, Syntaq etc)
- The area of that platform that the issue is present in (i.e. Matters, Projects, etc; or the Specific Form where the issue appears)
- A description of what you were expecting to happen and what you saw instead - with steps to reproduce the issue greatly appreciated!
You can also attach files to your bug report, such as documents with incorrectly generated content or screenshots of errors.
Suggestions
The Suggestion Form should be used to submit any suggestions for either:
- New products (e.g., a new Portal feature, template documents, checklists, anything else that will fill a potential / existing client need); or
- Enhancements to existing products (e.g., a new standard clause in our template Web Will, additional information in our DIY Probate Kit, additional items in our business sale checklist).
New Products / Enhancements should not be confused with system bugs or corrections. It is important to understand this distinction before you use the system, as it will save us a lot of time when reviewing and prioritising submissions.
What is the difference between an enhancement, new product, system bug & correction?
An enhancement is an additional feature or functionality to an existing offering that we provide to clients. For example, if you think it would be handy for extra fields to be added to an existing form on SYNTAQ so that we can use the same form to generate new documents, this would be an enhancement, not a bug / correction.
A new product is an idea for an entirely new offering / product. For example, if legislation is introduced to change the way financial advisers are regulated, we might create a standard disclaimer / waiver form for them to use when dealing with their clients.
A system bug is where a platform is not doing what it should be doing and is something that is IT-related (e.g., a document does not generate when I click 'Submit').
Submit a New Suggestion
To view or submit Suggestions in the Portal, click on the Bug Report item in the main menu. This will take you to the feedback page.
Before you submit a new suggestion, please check the list of Bug Reports and Suggestions to make sure your issue has not already been suggested.
Make sure you are in the Suggestions tab, and click the ‘Add a Suggestion’ button. This will open the ‘Submit a Suggestion’ modal.
Provide a summary of the idea, select the type of idea you wish to submit and finally provide a description of the suggestion.
Usually this takes the form of a User Story, with the format:
- As a {persona}, I want {feature}, so that {goal}.
Click submit to log to the Suggestions board.
In addition to the data provided by users, we dynamically collect the reporter, and reported/submitted date.
What happens with submitted suggestions?
All suggestions submitted through the Portal are:
- Reviewed by the Value Creation team.
- Updated by the 'Value Creation' team to include additional information required for prioritisation.
- Prioritised against existing items in the backlog; and in collaboration with the relevant Business Area Owner the card will be added to a future Sprint.
