CRM Overview
The CRM (Customer Relationship Management) module is the foundation of SBOS.AI. It manages the people and organizations your firm interacts with, and the client relationships that drive your legal work.
Core Concepts
The CRM is built around three entity types:
Contact (person) ──┐
├──► Client (the entity the firm acts for)
Organisation ──────┘- Contacts -- Individual people the firm interacts with (potential clients, witnesses, referrers, opposing parties, etc.)
- Organisations -- Companies, trusts, government bodies, and other entities the firm works with
- Clients -- The legal entity the firm acts for. A Client is composed of at least one primary Contact and optionally an Organisation and/or secondary Contact
Key Distinction
A Contact is a person. A Client is the entity the firm represents in legal matters. The same Contact can be part of multiple Client entities in different combinations.
How They Connect
| Entity | Description | Example |
|---|---|---|
| Contact | An individual person | John Smith |
| Organisation | A company or entity | Smith Industries Pty Ltd |
| Client | Who the firm acts for | John Smith (as director of Smith Industries) |
| Relationship | How contacts relate to each other | John Smith referred by Jane Doe |
A unique combination of primary contact, organisation, and secondary contact forms a distinct Client. This means:
- "John Smith" alone is one Client
- "John Smith + Smith Industries" is a different Client
- Both can have separate Matters and billing
